At Srivalto Sonemas, we want every student to feel confident about their ballroom dance journey. Our refund policy reflects our commitment to fairness while ensuring the sustainability of our programs and instructors.
We understand that circumstances change, and sometimes stepping away from dance lessons becomes necessary. This policy outlines when refunds are available and how the process works.
Eligibility Requirements
Refund eligibility depends on several factors, including timing, reason for withdrawal, and program type. Here are the main criteria:
- Refund requests must be submitted in writing within specified timeframes
- Medical circumstances require appropriate documentation from healthcare providers
- Relocation requests need proof of address change beyond 50 miles from our Hull location
- Program cancellations by Srivalto Sonemas result in full refunds
- Dissatisfaction with instruction quality will be reviewed case-by-case
Early Withdrawal (Within 14 Days)
Students who withdraw within the first 14 days of program enrollment may receive a partial refund after deducting administration fees and any completed sessions.
Refund Amount:
80% of total fees paid, minus completed lesson costs
Medical or Emergency Situations
We understand that health issues or family emergencies can disrupt dance plans unexpectedly.

Medical certificate or relevant emergency documentation
Refund Amount:
Pro-rated refund based on remaining sessions
Program Cancellation by Studio
If we need to cancel a program due to insufficient enrollment or unforeseen circumstances, students receive full refunds.
Refund Amount:
100% of fees paid, processed within 10 business days
How to Request a Refund
Our refund process is straightforward, but it does require following specific steps to ensure proper documentation and processing.
Submit Written Request
Email your refund request to [email protected] with your full name, contact details, and reason for withdrawal.
Provide Supporting Documentation
Include any required documentation such as medical certificates, proof of relocation, or other relevant materials.
Review Process
Our team reviews your request within 5 business days and may contact you for additional information if needed.
Decision & Processing
You'll receive our decision via email. Approved refunds are processed within 10-15 business days to your original payment method.
Processing Times and Payment Methods
Refund Processing Schedule
Most refunds take 10-15 business days to appear in your account after approval. However, processing times can vary depending on your bank or payment provider.
- Credit card refunds: 7-10 business days
- Debit card refunds: 10-15 business days
- Bank transfer refunds: 3-5 business days
- Cash payments: Processed as bank transfer or cheque
Important Payment Notes
Refunds are issued to the original payment method whenever possible. If this isn't feasible, we'll work with you to arrange an alternative method.
Non-Refundable Items
Certain fees and items are non-refundable, including registration fees, dance shoes or costume purchases, and private lesson deposits. Competition entry fees paid to external organizations also cannot be refunded once submitted.
Special Circumstances
We recognise that every situation is unique. If your circumstances don't fit neatly into our standard policy categories, we encourage you to speak with us directly.

Sometimes a refund isn't the only option. We're happy to explore alternatives that might better suit your needs:
- Program transfer to a different class time or dance style
- Extended leave of absence with credit preservation
- Partial credit toward future programs
- Makeup sessions for missed classes due to illness
- Partner or family member program transfer
These alternatives often provide more value than refunds while maintaining your connection to our dance community.
